Toolbox Talks-Topics and Schedule page lets you schedule available topics on the toolbox calendar.
This page can be accessed by selecting Toolbox Talks > Topics & Schedule from the main menu.
This page has the following items (In the order labeled in the picture above):
1. Topics
The Topics list lists all the available toolbox topics based on urgency. These topics are color coded according to deadline.
This list has the following items:
Topics
This item lists the name of upcoming toolbox meetings. Clicking on a topic opens the Topic Preview window which shows topic information along with the documents, links and comments attached to it.
Next Schedule
This item shows the date of the upcoming training events. The training events that are urgent are listed red and the events that are upcoming are listed in orange. Hovering over this opens a small popup which contains the Edit Button and the Delete Button
Click to Share
This item lets you share topics for your employees to host or for self-guided trainings. Clicking on this icon opens the Send the topic window.
Schedule this topic on a calendar
This item lets you schedule a meeting on the calendar.
Create a QR code
This item lets you create QR codes that can be scanned by your crew to directly access the Attendee's Portal. Clicking on this icon opens the Create a QR code window.
Click to Filter
This button filters the Topics and Schedule dashboard to only display training events related to the filtered topic.
2. Calendar
The Calendar on this page shows all the topic meetings you have scheduled. Topics and required topic materials appear automatically on your team's mobile apps on days the meetings are scheduled.
The Calendar has the following items:
a. Scheduled Topic
This item shows the topic you have scheduled, when it starts and when it ends.
b. Edit Button
This button lets you edit the details of your Scheduled Topic. This button only appears when you click on the Scheduled Topics. Clicking it opens the Schedule Window.
c. Delete Button
This button lets you delete the scheduled topics.
d. Current Month Button
This button lets you jump to the current month while navigating future or past months in the Calendar. This button remains inactive when you are in the current month.
3. Quarterly View
The Quarterly View shows when the trainings are scheduled in the current quarter. Days with events are highlighted green. You can use the arrows on the side to navigate to future or past months.
4. Refresh Button
The refresh button lets you refresh the Topics list, Calendar, and Quarterly view.
5. Calendar Filter
The calendar filter lets you choose which organizations' topics and schedules are displayed by the Topics list, Quarterly view and Calendar.
Schedule window
The Schedule window lets you schedule your topic into the Calendar. This window appears when you click on the Schedule this topic on a calendar button.
The Schedule window has the following items:
1.Topic
This item lets you type or select your topic from the Topic dropdown.
2. Calendar
This item lets you add the name of the organization you want to schedule a meeting for.
3. Dates
This item lets you select the date of your meeting.
4. Always available
This item lets you make a topic always available. An always available topic can be reviewed by anyone at any time. You might need to make a topic always available for ad hoc meetings or to train new employees.
After adding details into the Schedule window, Click 'Add' to add the topic to your calendar.
Create a QR code
The Create a QR code window opens after you click on the Create a QR code icon. You can create generic QR codes and QR codes for jobs from this window. A job specific QR code has job already selected for review. However, in the case of a generic QR code, job is not pre-selected and the reviewer may need to select a job only if job selection is mandatory.
Send the topic
The Send the Topic window lets you send a toolbox topic to your employees or your guest crew. This window appears when you click on the Click to Share button.
On the window, you can select one of the following:
For a toolbox meeting
This option lets you send a topic to your employees. Once sent, the individual receives a mobile notification on the Zurel app. A meeting portal for the meeting also appears on the app. This employee can then host a meeting and share it with other employees. Clicking on this button opens the Select the recipient window which looks like this:
Only registered Zurel users appears on this list. Type the name of the individual to search. If the name you are looking for does not appear, make sure the individual’s Zurel user account is active. Click on Send to share your topic.
For a self-guided review
Select this option if you want your employees or guests to review the toolbox on their own. Selecting this option opens the Recipient type window below:
From the Recipient type window, you can share the topic with:
An employee
This option lets an employee you select review the topic and complete a meeting on their own.
A guest
This option lets you send the topic link to anyone as an email or a text message.
